Co-ownership

Assign the shares of an aircraft, invite co-owners by email and see what happens when they accept or leave.

Owner, co-owner

An aircraft can have several owners, each with their own share (for example 50%, 25%, 25%). Shares say who is a co-owner and they feed the flight shifts and the sharing of costs.

Before you start

  • To add, change or end shares you need permission to manage the aircraft. Whoever added the aircraft with I own this aircraft has it (see Add an aircraft).
  • Shares are percentages and their sum cannot exceed 100%.
  • To invite someone by email you need their address. People without an AVIOFILE account receive an invitation by email.

Add a co-owner

  1. Open the aircraft. In the Overview, GROUP section, tap Co-owners & access.
  2. A page opens with two full-width tabs: Co-owners and Access (the Access tab is only shown to whoever manages or can edit the aircraft; without that permission you only get the co-owners page). In Co-owners you see SHARES at the top, with a bar and for example "75% assigned · 25% free".
  3. Tap + (Add owner).
  4. Choose how to add them. With Invite by email enter Name (full name) and Email: the person receives an invitation, by email and, if they already have an account, in the app too. With Name only you record the share with just a name, for someone who does not use AVIOFILE; you can invite them later.
  5. In Share enter the percentage. Under the field you see the maximum ("Up to …"). If it exceeds the free part, the excess is taken from your own share and you see "Your share will go from … to …".
  6. Check the Start date (today by default) and tap Add owner.

After the invitation the share shows Awaiting acceptance and the percentage stays reserved. It becomes the new co-owner's only when they accept.

If you are invited as a co-owner

  1. On Home and in the Menu you see YOUR INVITATIONS, for example "Co-owner of I-GXXX (25%)".
  2. Tap Accept to join, or Decline. The consent is yours: the share is not yours until you accept.
  3. After accepting you see "You are now co-owner of I-GXXX". The aircraft shows up among your aircraft.

You can also accept from the Menu: tap Create or join an organization, then Join with invitation, if you received a link (see Getting started).

Add my share

If you manage an aircraft but hold no share, Co-owners & access shows the You don't hold a share in this aircraft card. Without a share you are not listed among the co-owners and you can't have shifts.

  1. Tap Add my share.
  2. Check the Share: the part that is still free is proposed.
  3. Tap Add my share.

The card only appears if there is a free part.

Change a share or end it

  1. In Co-owners & access, Co-owners tab, tap the person's row.
  2. Change the Share and tap Save share, or choose End this share and confirm with End share. The share stays in the history, under PAST SHARES.

Leave my share

Every co-owner can leave their own share, even without permission to manage the aircraft.

  1. In Co-owners & access, Co-owners tab, tap your row (marked "(you)").
  2. A sheet opens with Hand over the share and Leave my share (if you manage the aircraft it is the share sheet, with Leave my share at the bottom). Tap Leave my share.
  3. Read the warning: your share ends today, the percentage becomes unassigned, you lose your access to the aircraft and the other owners are notified. Tap Leave share.

If you are the only owner you cannot leave the share: the app suggests archiving or transferring the aircraft.

Managers, payer and permissions

Every co-owner has a level that says what they can do with the aircraft. Under each person's percentage, in Co-owners & access, you see the level chip:

  • Can view: sees the aircraft, maintenance, documents and costs.
  • Pilot: like Can view, plus logs flights, reports defects and books. This is the default level.
  • Can edit the aircraft: like Pilot, plus changes aircraft data, components, avionics, maintenance and documents.
  • Co-manager: like Can edit the aircraft, plus manages shares, access, costs and bookings.
  • Custom: permissions chosen one by one.

To change someone's level (you need to manage the aircraft as an owner):

  1. Tap the level chip, or the person's row and then Access level.
  2. Choose one of the levels: each has a line that explains what it allows.
  3. To choose the permissions one by one tap Customize: the switches are grouped by area (Aircraft, Flights, Maintenance, Documents, Costs, Bookings). Then tap Save permissions.

A group of co-owners has several co-managers and one of them is the payer: the group's subscription and invoices are in their name. At the top of Co-owners & access the Group management card shows who pays and who the co-managers are; tap it to open Co-managers and payment (you also find it in the group's organization settings).

  • To make someone in the group a co-manager tap Make a co-manager…, choose the person and confirm. To remove them tap their row and choose the new level (Pilot, Can edit the aircraft or Can view).
  • To pass the payment on tap Pass the payment to…, choose another co-manager and tap Send the request. Until they answer you see Waiting for … and you can tap Cancel the request: nothing changes without their consent.
  • If you are asked to become the payer you see the request in YOUR INVITATIONS and in Co-managers and payment. Tap Answer: check your billing data and tap I accept to be the payer, or Decline. If the current payer has not agreed yet, you read "Waiting for the consent of … until …" and I accept to be the payer stays off: you can only decline.
  • If you are the payer and another co-manager asks for the payment to pass to them (or to a third person), in Co-managers and payment you see the request with I agree and Cancel the request. If you agree, the person asked can accept; if you cancel, the payment stays with you and the others are told. If you do not answer by the date shown (14 days), silence counts as consent. Whoever made the request sees the state of the consent under Waiting for ….

Hand over a share

You can give another person all of your share or part of it. Nothing changes until they accept: until then the percentage is still yours.

  1. In Co-owners & access, Co-owners tab, tap your row (marked "(you)") and then Hand over the share.
  2. Choose All of it or Part of it and, in that case, enter the Share.
  3. Under To whom choose A co-owner (and tap the person) or A new person (enter Name and Email: they get an invitation with only the share).
  4. If you like, write a Note (optional) and tap Send the hand-over.
The sheet to hand over a share
The sheet to hand over a share

On your row you see "Hand-over waiting: …". To change your mind tap the row and Cancel the hand-over. Whoever receives the share gets the Pilot level, never the management: selling a share does not hand over the management.

If someone hands a share over to you, in YOUR INVITATIONS (on Home and in the Menu) you read "… gives you 25% of I-GXXX": tap Accept or Decline. By accepting, the percentage becomes yours.

What co-owners can see

  • By default a co-owner can see the aircraft, its maintenance, documents and costs, log flights, report defects and book. They cannot change the aircraft data or the shares.
  • Whoever manages can give or remove access for other people or organizations from the Access tab of Co-owners & access (Read only, Pilot, Maintenance profiles). Owners always keep full access.
  • Shifts and bookings are in the Calendar tab; My bookings shows only yours.

Shifts and costs

In the aircraft Overview, GROUP section, you find Shifts (the Shift plan opens from there), Costs (expenses, hourly cost and rates), Statement (balance per member) and Co-owners & access. On an aircraft with a single owner the section is called COSTS AND OWNERSHIP and only has Costs and Co-owners & access: Shifts and Statement appear when a second co-owner joins. In the Menu, ACTIVITY section, Co-ownership balance (or Credit and balances, if you also have flight credit) and My shifts are about you across all aircraft. For a technical flight, in the flight details choose Who pays: I pay for it, Split among the members or The organization pays; by default the choice made in the Rates applies (TECHNICAL FLIGHTS: Split among the members or The pilot, and if it is split, By share or In equal parts). The aircraft's Tech log tab lists the flights like a logbook: technical flights with no pilot show the notice "technical flights to assign", and from each flight you say who flew it. In the Shift plan the Allow bookings switch decides whether everyone flies only on their own shifts or days without a shift can also be booked (see Bookings). For costs see Costs.

Frequently asked questions

I invited the wrong person.

Tap the share in Co-owners & access and choose End this share, then add the right one.

Why can't I go above a certain share?

Because the sum of the shares cannot exceed 100%. The maximum is the free part, plus your own share if you are the one giving it up.

A co-owner does not have an AVIOFILE account.

That is fine: record the share with Name only, or invite them by email and the share is linked to their account when they accept.
