This guide takes you from your first login to the AVIOFILE Home screen: sign-up, language, the Menu, your personal organization and invitations.
Before you start
- You need an email address you can read (we send you a verification code), or an Apple or Google account.
- Nothing else: your personal space exists from your first login.
Sign up
- On the login screen tap Sign Up.
- Enter your First name, Last name, Email and Password. The password needs at least 10 characters, with lowercase letters and numbers.
- Tick the box accepting the Terms of Service and the Privacy Policy. You cannot continue without it.
- Tap Create account.
- Open the email, copy the 6-digit code and type it on the Check your email screen. Then tap Verify. If the code does not arrive, use Resend code.

You can also use Sign in with Apple (or Sign in with Google, where available): no password to create.
Log in
- Enter your Email and Password and tap Login.
- If you forgot your password, tap Forgot password?: we email you a code and you choose a new password.
On your first login the app may ask you to read and accept Terms and privacy (tap Accept and continue) and, if it is missing, What is your name?: enter First name and Last name and tap Continue, or Not now. Your name appears on flights and bookings and in the greeting; you can change it later in Profile.
Choose your language
- Open the Menu.
- In the ACCOUNT section tap Language.
- Pick a language from the list. It applies to the app and to the emails and notifications we send you.
Finding your way around
The main tabs are at the bottom: Home, Logbook, Calendar, Documents and Menu. In the web app on a wide screen the tabs are on the left and there is also Aircraft, with the list of aircraft.
The Menu holds everything else:
- at the top your card with name and email (tap it to open Profile);
- ORGANIZATIONS: your organizations (each opens its own page), Personal, Switch to school view if you have a role in a school, and Create or join an organization;
- ACTIVITY, only when it applies to you: Flight credit (if your school has opened one for you, see Wallet and receipts) or Co-ownership balance (Credit and balances if you have both), My shifts (for co-owner groups), My training and Classroom;
- ACCOUNT: Notifications, Language, Appearance, Security and Privacy & information;
- HELP: Guide and support;
- Log out at the bottom.

Your personal organization
Every user has a Personal organization: the space that holds your aircraft, your flights and your documents. You do not have to create it.
If you belong to other organizations (for example a group of co-owners or a school), the ORGANIZATIONS section of the Menu lists all of them and, last, Personal.
- Open the Menu.
- In the ORGANIZATIONS section tap the organization you want to open.
- Its page opens: members, invitations and plan, if you have permission to manage it.
Personal opens the plan and the costs of your aircraft. If you also have a role in a school you will find Switch to school view in the same section (and, in the school view, Switch to pilot view).

Accept an invitation
If someone invites you to an organization or as a co-owner of an aircraft, there are two ways in.
With your email. If the invitation was sent to the address you signed up with, the YOUR INVITATIONS card appears on Home and in the Menu, with the organization name and, for an aircraft, your share (for example "Co-owner of I-GXXX").
- Tap Accept to join, or Decline.
- After you accept you see "You joined…" and the organization is available in the Menu.

With a link or a code. If you were sent a link (aviofile://invite?token=…) or a code:
- Open the Menu and tap Create or join an organization, then Join with invitation.
- Paste the link or code in Invitation link or code.
- Tap Join. The organization becomes your active one. Tap Done.
If you see "Invalid, expired or already used invitation", ask the person who invited you to send a new one.
Home
The Home tab shows:
- The greeting with your name and, at the bottom, the big NEW FLIGHT button to log a flight.
- MY AIRCRAFT: up to three aircraft in use, yours first (the ones you hold a share of) and then the others. The first one has the full card, with TOTAL TIME and NEXT CHECK, the others a single row. Tap one to open the aircraft; See all appears when there are more and opens the full list, with sold or archived aircraft at the end, under ARCHIVED. With a single aircraft you find Add aircraft there instead. Above the aircraft, N flights to confirm appears if somebody recorded a flight with you on board.
- If defects have been reported on your aircraft you see "open defects".
- UPCOMING: the next checks due and your bookings. If there is nothing, it says so.
- The bell opens Notifications.
If you have no aircraft yet you see No aircraft yet with the Add aircraft button: continue with Add an aircraft.

Frequently asked questions

Yes, in Profile (tap the card at the top of the Menu).
