Aircraft maintenance tracking: deadlines, interventions and defects
Deadlines by hours or by calendar, work in progress, defect reports that can ground the aircraft, and a record of every intervention. The hours come from the flights, so the countdown updates by itself.
Deadlines by hours, by calendar, or both
Build the maintenance programme from recurring tasks such as the 100-hour or the annual inspection. Each task has an interval in hours, in months or both: whichever comes first applies, with an optional tolerance.
- Status at a glance: on track, due soon or overdue, with the days or hours left
- A fleet view shows the next due item of each aircraft
- Reminders in the app and by email before a deadline

Interventions and a signed record
Log scheduled and unscheduled work, inspections, AD compliance, service bulletins, repairs, modifications and component changes, as planned, in progress or completed. Completing an intervention reschedules the tasks it covers and resolves the defects it fixes. A completed intervention can be sealed with a signature, after which it can no longer be changed.
- Airframe hours, who performed it, company, CRS reference, cost and notes
- Components with time since new and since overhaul
- A change history: who changed what, and when
Squawks: defect reports with a severity
Anyone allowed to report can describe a defect and choose its severity: low, medium, high or grounding. A grounding squawk marks the aircraft as unfit to fly until it is resolved, and anyone who tries to book gets the warning. A deferred defect lets the flight go ahead while the defect stays open.
Suggestions from the manufacturer's programme
For aircraft, engines and propellers in the catalogue, AVIOFILE can suggest tasks and intervals taken from the official manuals. You accept or ignore each suggestion, and nothing changes on your aircraft until you accept. They are only suggestions: the manufacturer's manual and your maintenance organisation prevail.
Ultralights in Italy: the AeCI on-condition extension
For an Italian-registered ultralight (VDS) with a Rotax 9XX engine, the maintenance tab shows the AeCI 2025-01 on-condition extension panel: TBO, hours left, and the calendar limit with and without the extension. The owner activates it after reading the conditions. If some data is missing, the manufacturer's limit still applies and the panel says what is missing.

Frequently asked questions
Can I keep the aircraft technical log (tech log) digital, including for microlights?
You can keep each aircraft’s flight and counter history in AVIOFILE, microlights included, and import an old technical log from Excel, CSV, Word or a PDF with text. The counters update maintenance deadlines on their own. How far a digital record replaces the official log depends on your authority’s rules and your maintenance organisation: ask before you stop filling in the paper.
Does AVIOFILE replace my maintenance organisation or the official records?
No. AVIOFILE helps you keep track of deadlines, interventions and defects. The manufacturer's manuals, your maintenance organisation and the records required by your authority prevail.
Does a grounding defect stop the aircraft from being used?
The aircraft is marked as unfit to fly until the defect is resolved, and anyone who books gets the warning that it is grounded.
Can I use it for ultralights?
Yes. AVIOFILE is made for general aviation and ULM. For Italian-registered VDS aircraft with Rotax 9XX engines there is also the AeCI 2025-01 on-condition extension panel.
Who can see and change maintenance?
Each person has permissions on the aircraft: some can only read, some can report defects, and some can add tasks and interventions. Buttons you cannot use do not appear.
