Connect calendar brings your bookings, shifts and classes into your phone calendar. On iPhone and Android the app writes them straight into calendars of its own; for Outlook, a computer and the web app there is a personal link.
Before you start
- All you need is your AVIOFILE account.
- The calendar is read-only: you always make changes in AVIOFILE.
- Open the screen from Menu > the card at the top with your name (Profile) > MY DATA > Connect calendar.
In your phone calendar (iPhone and Android)
- Tap Add to your phone's calendar.
- The phone asks for calendar access: choose Allow Full Access (on Android Allow). Full access is needed so AVIOFILE can correct and remove its own events when a booking changes or is cancelled.
- The calendars AVIOFILE · Personal and AVIOFILE · Aircraft appear; AVIOFILE · School comes with the first classroom lesson.
AVIOFILE writes and deletes only inside these calendars and does not read your other events. An event you add yourself to an AVIOFILE calendar is never touched.
Bookings and shifts have a reminder one hour before; deadlines 7 days and 1 day before.
When it updates
- When you open the app or come back to it, and right after one of your changes (booking, shift, sale).
- In the background: on Android about every 6 hours; on iPhone when iOS allows it (usually a few times a day, less if you rarely use the app).
- Whenever you want: tap Update now. The screen shows Updated at and the time of the last update.
With iCloud on, on iPhone the AVIOFILE calendars go to iCloud and you also see them on iPad and Mac. If you use AVIOFILE on two Apple devices, they write to the same calendars without duplicates.
If you declined the permission
The screen explains it: tap Open Settings and turn on full calendar access for AVIOFILE (on iPhone in Settings > Apps > AVIOFILE > Calendars). Or use the link (below).
Removing the calendars
- Disconnect from the phone: confirm in Disconnect from the phone?. The AVIOFILE calendars and their events disappear; your other calendars are not touched. If you added events of your own to an AVIOFILE calendar, that calendar stays with your events.
- Log out with Also disconnect the calendar ticked, and deleting your account, also remove the AVIOFILE calendars from the phone.
- Uninstalling the app: the AVIOFILE calendars stay on the phone, frozen at the last update. On Android tap Disconnect from the phone before uninstalling (or reinstall AVIOFILE and disconnect). On iPhone you can also remove them in the Calendar app > Calendars > (i) next to the calendar > Delete Calendar.
Already subscribed with the link?
If you had subscribed with the link before, every event would show up twice. After connecting, the app offers Disconnect the calendar link too?: tap Disconnect the link. If you still need the link for Outlook or a computer, keep it and remove the subscription from the phone only (iPhone: Settings > Calendar > Accounts).
Choosing what to show
Bookings, shifts and classes are always there. In What appears in the calendar you can add these deadlines as all-day events, with a reminder 7 days and 1 day before:
- Maintenance due dates: also the ones estimated from the flight hours, and aircraft grounded.
- Aircraft document expiries.
- Licences and medical: your ratings and medical certificate (one entry per licence, even if it has scans attached).
- Membership dues.
- Shifts of the other co-owners: not only yours, so you see when the aircraft is taken.
Each item is a switch: changes are saved straight away and apply both to the phone calendar and to the link. Deadlines show up even when they are far away, up to ten years.

Other calendars (Outlook, PC) with the link
For Outlook, a computer or the web app there is a personal link that your calendar app reads by itself, from the last 30 days to the next 90 (deadlines up to ten years). The link is secret: anyone who has it can see your calendar. Do not share it.
- In Other calendars (Outlook, PC) tap Copy link (it is created if there is none).
- Outlook: choose Add calendar > Subscribe from web and paste the link.
- Google Calendar on a computer: Other calendars > From URL and paste the link.
- On iPhone, iPad or Mac you can also tap Subscribe with the link and confirm Subscribe.

Three separate calendars
After creating the link, Separate calendars gives you an address for each one: Personal (licences, medical, personal documents and dues), Aircraft (bookings, shifts, maintenance and aircraft documents), School (classroom lessons). For each, tap Add to Calendar: Personal (and so on) or Copy link: Personal.
Regenerating or disconnecting the link
- Regenerate links: confirm in Regenerate the links?. The old links stop working: add the new ones the same way.
- Disconnect the link: confirm in Disconnect the calendar?. The link stops working and the calendars using it stop updating. To remove the subscription completely, delete it in your calendar app too.
The link's calendar empties by itself when you delete your account and after 30 days without opening the app. The screen tells you by when to open it again.
Deadline reminders
For your own deadlines (licences, medical and personal documents) AVIOFILE warns you in advance, and the same days become the alarms in the calendar.
- Open Menu > Notifications and tap the tools icon at the top right: Preferences opens.
- In MY DEADLINE REMINDERS keep Remind me before my deadlines on. Off, you get no reminders.
- In Days before the deadline tap the days you want (180, 90, 60, 30, 14, 7 or 1), up to four. By default they are 30 and 7.

A licence has one deadline and one reminder: the scans attached to it have none of their own. For a single licence or document you can choose different reminders in Reminders for this deadline. In the phone calendar the "same day" reminder of deadlines is not there (the ones on the days before remain).
Frequently asked questions
Can I change bookings from the phone calendar?
No, the calendar is read-only: if you change an AVIOFILE event on the phone, at the next update it goes back to what AVIOFILE says. Change or cancel in AVIOFILE: see Booking the aircraft.
Does AVIOFILE see my appointments?
No. The phone asks for full access, but AVIOFILE reads and writes only in the AVIOFILE calendars.
Why can't I see my link again?
For security the links are shown only when you create them (and they stay remembered on this phone). Otherwise tap Regenerate links: the old ones stop working.
